Understanding Meeting Associations in Vitally
Vitally provides robust tools for associating meetings with accounts through its calendar integration, ensuring that account activity tracking is seamless and accurate. This guide provides an overview of how Vitally manages meeting associations, including its interactions with participants, external calendars, and third-party tools.
1. Overview of Calendar Integration
Vitally automatically syncs meeting information from external calendar systems, such as Google Calendar and Gong. This integration uses participant data to determine account associations, ensuring meetings are linked correctly to account activity for better tracking and insights. The system updates in near real-time to reflect changes made in synced calendars.
2. How Meetings Are Associated with Accounts
Meeting associations in Vitally are based on the participants of a meeting. If attendees from different accounts participate in a single meeting, Vitally will associate that meeting with all relevant accounts. This ensures activities involving multiple stakeholders are captured comprehensively.
Third-Party Tool Interaction
Vitally uses its own system to determine account associations for meetings and does not rely on integrations with tools such as Gong for this purpose. Therefore, while Gong may provide other valuable functionalities, it does not play a role in assigning meetings to accounts in Vitally.
3. Editing Participant Details to Adjust Meetings
A meeting's account association is derived automatically from its participants and each participant's linked Customer/Organization in Vitally, so there's no separate meeting-level control to edit directly. You can change which account a meeting is linked to in a few ways:
Update the participant list in your calendar (e.g., Google Calendar). Vitally syncs calendar changes roughly every 5 minutes, and the linked accounts typically recalculate within 1–3 minutes after that, with an hourly reconciliation as a backstop. Recurring meetings may sync less frequently.
Update the participant's Customer/Organization membership directly in Vitally. Since the meeting's account link is derived from that membership, this also updates which accounts the meeting appears under.
4. Frequently Asked Questions
What happens if participants from multiple accounts join the same meeting? The meeting will appear under all relevant accounts, ensuring thorough tracking of activities involving different parties.
Can I edit the participant list directly in Vitally? No, Vitally relies on participant data from the synced external calendar. Changes to the participant list must be made in the source calendar system.
Can I manually remove or re-link a meeting's account association, like I can with a conversation? Meetings don't have a remove/re-link control the way Conversations do, since a meeting's account link is derived automatically from its participants rather than set manually. To change it, update participants in your calendar, adjust the participant's Customer/Organization membership in Vitally, or use the REST API — see Section 3 above for details.
Does Gong decide meeting-to-account associations in Vitally? No, Gong does not determine account associations for meetings in Vitally. Meeting links are managed via participant account affiliations.
This guide explains how Vitally synchronizes meetings with accounts using participant and calendar data while clarifying the role of external tools in this process. If you have further questions about integrations or meeting associations, please consult our Help Center or contact support.
