AI Meeting Recorder Overview

The Vitally AI Meeting Recorder is designed to bring call recordings and transcripts directly into Vitally, unlocking the full potential of our AI Copilot and post-call automation. It’s a CS-specific feature aimed at boosting productivity with automatic task creation, churn analysis, and more.

This feature is only available to Google Calendar customers only

How to Use AI Meeting Recorder

  1. Go to Settings > Meetings > Meeting Recorder.

  2. Click Enable.

  3. Choose your default recording setting:

    • Automatic: The bot will join all external meetings by default, unless exceptions are made.

    • Manual: Users must toggle recording on for individual meetings.

  4. Customize the Meeting Bot name. This is how the bot appears in meetings.

  5. Ensure users have connected calendars—non-connected users will see a banner prompting them to do so.

  6. Ensure your meeting platform (Zoom, Google Meet, or Microsoft Teams) has captions enabled to allow transcripts to be generated.

If your customer owns the meeting, they will need to enable captions for the transcript feature to be available.

Pre-Call Setup

  • Automatic Recording: No action required—the bot joins external meetings automatically.

  • Manual Recording: Open the Meeting details in Vitally and toggle recording on for any call you want to record.

If you have a waiting room enabled, be sure to invite the call recorder into the meeting!

Post-Call Experience

After the meeting:

  • You’ll receive a Vitally Alert (and a Slack notification, if enabled) once the call is processed.

  • Inside the Meeting object, access:

    • The Recording tab: Watch the video and read the transcript.

    • The Overview tab: See key points, suggested tasks, and churn analysis.

    • The AI Copilot tab: Use AI Actions like drafting emails, generating tasks, or extracting custom objects.

  • Enable the Slack integration via Settings > Integrations > Slack.

  • Each User must enable Slack alerts in My Profile > Notifications > Slack.

Note: Summary, tasks, and risks are not yet sent to channels.

Using/Managing AI Meeting Recorder

Admin Controls

  • View which users have recording enabled but haven't connected their calendars.

  • Set up rules for who is included/excluded from automatic or manual recording.

In-Meeting Actions

  • The Meeting Bot can be removed mid-call by the host, ending the recording

  • Users can manually toggle recording before the meeting starts if manual mode is enabled.

What are the requirements to use the AI Meeting Recorder?

  • You must be a Team Member, Leader, Admin, or Observer

  • Your calendar must be connected.

  • Admins can view which users need to connect their calendars.

How does this compare to the Gong integration?

  • Gong is a full Call Intelligence solution; Vitally AI Meeting Recorder focuses on integrating recordings for internal automation.

  • Vitally populates all Task fields using AI, not just the Task Title (as Gong does).

  • Both tools are compatible with AI Copilot and AI Actions.

Can I use both Gong and Vitally’s AI Meeting Recorder?

Yes. Both can record meetings simultaneously. You may receive duplicate task alerts in Vitally when both are active.

What meeting platforms are supported?

  • Zoom

  • Google Meet

  • Microsoft Teams

What if the Meeting Bot doesn't join or leave as expected?

There are a few known edge cases—like when meeting ownership is transferred, meetings are deleted, or calendars are disconnected—that may prevent the AI Meeting Recorder from properly joining or leaving a meeting.

How does the Vitally Meeting Recorder do domain exclusion?
You can configure this in settings > security > domain exclusion. Just add the domains you want to exclude (this also stops syncing meetings and conversations).

Q: How does Vitally Call Recorder handle consent under two-party consent laws?

A: Vitally Call Recorder relies on the native recording notifications built into Zoom, Google Meet, and Microsoft Teams. All participants are automatically notified when recording begins. As with any meeting recording, we recommend hosts verbally announce the recording if required by their jurisdiction. The host may remove the meeting recorder as a participant.

Q: What notice is provided to external participants?

A: External participants see the same platform-level notifications (e.g., Zoom’s “This meeting is being recorded” banner). There is no separate Vitally-specific banner, but the meeting recorder will show as a participant.

Q: Can external participants opt out?

A: While participants cannot disable recording themselves, the host can stop recording at any time by removing the Vitally Recorder from the call.

Q: How does this align with GDPR requirements?

A: For customers hosted in our EU instance, all recordings and transcripts are stored exclusively in the EU, both within Vitally and our subprocessors. Vitally ensures technical compliance with GDPR, while customers remain responsible for obtaining and communicating participant consent.

Q: What if someone joins mid-call?

A: Participants who join a call in progress will see the same recording notification when they enter.

Q: Where is recording data stored?

A: Recordings and transcripts are stored in the same region as your Vitally instance. For EU customers, that means all data remains in the EU.

Q: What happens if we cancel Vitally or opt out of the recorder?

  • If you cancel Vitally entirely, all recordings and transcripts are deleted along with your other data.

  • If you opt out of the recorder, no new meetings will be recorded. Existing recordings remain available unless you request their removal.

Q: Who can access recordings in Vitally?

A: Recordings and transcripts are only visible to users who have access to the related Meeting object in Vitally. With the exception of customers using access groups, this means that all users will have read access.

Q: Is there audit logging of access?

A: At this stage, Vitally does not provide a dedicated audit log for recordings. However, all standard Vitally-internal observability and logging applies.
