Memories let you save persistent context that Vitally AI automatically pulls into every generation — so you stop repeating yourself and start getting smarter outputs, every time.
Whether it's your product terminology, your business model, or a specific customer's situation, Memories ensure Vitally AI always has the right background to give you accurate, relevant responses.

Types of Memories
Global Memories: Set by admins and leaders. Applied across all AI generations for everyone on the team
Account-level Memories: Added by any non-observer user. Apply only to AI generations for a specific account
When an AI Memory is saved, it is automatically included as context for AI generations — no extra steps needed.
How to set up AI Memories
Adding a Global AI Memory
Open Copilot from the Vitally AI panel
Select the memory icon on the top right
Select AI Memories
You'll see Global Memory or {Customer Name} which are for that specific accounts Memories
Select New Memory and enter your content
Select Create Memory — the memory is now active for all to use
Important: Only admins and leaders can create or edit Global Memories. Team members can manage Account Memories.
Adding an Account-level AI Memory
Navigate to the account you want to add context for
Open Copilot from the Vitally AI panel
Click the memory icon in the Copilot panel
Select Account Memories
Click Add memory and enter the account-specific context
Click Save — this memory will be included whenever Vitally AI generates content for this account
Using Memories in Vitally AI
Once saved, AI Memories work in the background — you don’t need to reference them in your prompts. Every time you use Copilot, Vitally AI automatically pulls in your relevant Global and Account-level Memories as context.
Managing your AI Memories
You can create, edit, and delete memories at any time from within Copilot:
Click the memory icon in the Copilot panel to view all active memories
Click any memory to edit or delete it
Changes take effect immediately on your next AI generation
Tip: Review your Memories periodically to keep them accurate as your business or accounts evolve.
Best practices for writing AI Memories
Be specific and instructive: The more precise the memory, the better the output
Use Global Memories for things that are always true: Company context, product tiers, terminology, tone preferences
Use Account Memories for customer-specific context: Renewal cycles, risk signals, relationship history
Avoid duplication: Conflicting information across memories can confuse the model
Keep memories factual and concise: Focus on context that doesn’t change often

AI Memories work best for context that is stable, instructive, and specific. Here are the most impactful ways to use them:
Output format
Tell Vitally AI exactly how you want information structured so every output is consistent — without prompting each time.
Example: When identifying customer risk, always be specific — reference the actual signal (e.g. low product adoption, missed onboarding milestones, no login in 30 days) rather than using vague language like ‘the customer seems disengaged.’
Custom terminology
If your team uses different names for standard objects, teach Vitally AI your language so outputs always match how your team actually talks.
Example: We call Accounts ‘Buildings’ and Orgs ‘Districts.’
Data hygiene
Help Vitally AI use the right data when multiple fields exist for the same concept.
Example: We have three ARR fields, but only use the one coming from Segment.com.
Product suite context
Give Vitally AI the product knowledge it needs to make relevant recommendations.
Example: Our platform has three tiers: Starter, Growth, and Enterprise.
Business model nuances
Provide context about who you sell to and how, so AI outputs are grounded in your actual go-to-market.
Example: We sell to mid-market CS teams with 5–50 reps.
Account-specific context
Add situational context to an account so Vitally AI understands where that customer is in their journey.
Example: This customer is in a contract renewal cycle and is currently at risk.
Example: When an account is within 90 days of renewal, always frame outputs around renewal readiness — highlight open risks, recent wins, and suggested talking points — even if that wasn’t the explicit ask.
Tone and format preferences
Ensure every AI-generated piece of content sounds like your team — without manual cleanup. Vitally AI already has instructions to write with a CSM's professional, but friendly tone. So, use this as an opportunity to fine-tune.
Example: Write all customer-facing content in a confident, concise, and consultative tone. Avoid overly casual language. Never use filler phrases like ‘I hope this finds you well’ or ‘just checking in.’
Example: When suggesting a next action, always tie it to a specific Vitally workflow — such as launching a Playbook, scheduling a QBR, or updating the Health Score — rather than generic advice.

Who can create Global AI Memories?
Global AI Memories can be created and managed by Admins and Leaders. They apply to all AI generations across the team. Account Members can be created and managed by Admins, Leaders, and Team Members.
Who can create Account-level AI Memories?
Any non-observer user can add Account-level AI Memories to a specific account they have access to (e.g., Data Access). These apply only to AI generations for that account.
Do I need to mention my AI Memories in each prompt?
No. When an AI Memory is saved, it is automatically included as context for every AI generation — you don’t need to reference it in your prompt.
Can I edit or delete an AI Memory?
Yes. Admins or Leaders can create, edit, and delete AI Memories at any time using the memory icon in the Copilot panel. Changes take effect immediately.
