Description of Problem

When sending emails via Vitally, additional team members are automatically included as recipients. This behavior occurs even when they are not manually added to the email, leading to unintended forwarding and confusion.

Potential Reasons for the Issue

  1. Configured BCC Address:

    • The sender has added a shared team email (e.g., CSM alias) to the BCC field, which forwards emails to all team members.

  2. Shared Alias Behavior:

    • The shared email alias includes multiple recipients, causing the unintended forwarding of emails.

Step-by-Step Solutions

1. Check the BCC Configuration

  • Log in to Vitally as the affected user

  • Navigate to the email settings

  • Review the configured BCC address for outgoing emails

2. Remove or Update the BCC Address

  • If the BCC field contains a shared email (e.g support@vitally.io), update it:

    1. Remove the BCC address if unnecessary.

    2. Replace it with an individual recipient or leave it blank.

Additional Tips

  • Use Individual BCCs Judiciously: Limit the use of shared aliases in the BCC field to avoid unintended recipients.

FAQ

Why are additional recipients being added to outgoing emails?

The BCC field in email settings includes a shared email alias that forwards the email to all recipients in the group.

What if I need to include team members in certain emails?

Manually add individual recipients to the CC or BCC fields only when necessary.
