About Segmentation (Segments)

Segmentation (Segments) allow you to auto-organize your accounts into Segments using any data points. You can easily view each segment's accounts, KPIs, and more as you navigate Vitally.
Vitally allows you to automate this process using our Playbooks feature to organize your accounts into any number of segments. You can assign accounts to segments based on their product usage, subscription details like MRR or renewal data, market details (using our Clearbit integration), or any other data you send us.

Segments: Automate organizing accounts

As mentioned, Playbooks help you automate organizing accounts into Segments with any data you send us. There are a variety of ways you can create a playbook so for educational purposes, we will go over a simple way to create a playbook that only adds to Segments and no other actions (please refer to playbooks documentation for the full potential of what can be done).

    Navigate to Settings by clicking on the settings icon (⚙️) on the bottom left of your account (or get there via Quick Jump)
  2. 2.
    Click on Playbooks
  3. 3.
    Click on New Playbook (or choose an existing playbook)
  4. 4.
    Choose what kind of playbook this will be, in this case we are choosing Account level.
  5. 5.
    Add your trigger rules for Accounts to enter the playbook
  6. 6.
    Add in your actions, like add a Segment track
  7. 7.
    When done, turn on your playbook on the top right

Segments: Manually organizing accounts

Accounts (Users or Orgs) can be manually added to, and removed from segments, allowing segments to essentially double as to-do lists. We'll continue to use Accounts as the example but this can apply to Users or Organizations as well.

Manually change the Segments from the Accounts dashboard:

    Select Accounts under Relationships

    Select the Segments you'd like the accounts to belong to or removed from. They can be assigned to more than one!
Manually change the Segments from an Account profile:

    Select the Account you want to change Segments for

    Click on the Segment icon (
    ) on the top left of the Account profile

    Select or de-select Segments to add or remove manually
Manually modifying segments supersedes automatic segment assignments from Playbooks. For example:
let's say a Playbook adds Account A to Segment B. Then, you manually remove Account A from Segment B. The Playbook that originally added the account to the segment will not add it back (although a new set of Playbooks would, if created).
The same is true in reverse - if you manually add Account A to Segment B, then Playbooks will not remove Account A from Segment B. If you'd like the account to no longer be in the segment, you'll need to manually remove it moving forward.

Segments: Viewing data

Once you've created segments, you'll see them displayed in the filter panel on the right-hand side of the screen. As you navigate through views in your Accounts lists and Reporting Dashboards, you can quickly select segments to filter the displayed data to.

Filtering from Account's view

    Select Accounts under Relationships

    On the right hand panel, you'll see your Segments listed. You can select or de-select.
This filtering option is available across multiple areas of Vitally under Relationships.
Filtering using Account/User filters
  1. 1.
    Select Accounts or Users in the main accounts/user view.
  2. 2.
    On the right hand panel, under Account (or User) Filters click Add filter then Select a property
  3. 3.
    Click on Segments and then select the Segments you want to filter by
  4. 4.
    Now select between your Relative or Absolute filters
This filtering option is available across multiple areas of Vitally under Relationships, Activity (only account level filters), and Reporting (only Account level filters).

FAQ

Q: If a Playbook adds an account to a segment, how do accounts leave that segment?
A: Once a Playbook adds an account to a segment, we create a 'link' between that segment, account, and Playbook. A similar link is created if you manually add an account to a segment.
Then, once an account no longer meets the rules of your Playbook, we remove the link created between that segment, account, and Playbook. Once no more links exist between the account and segment, we completely remove the account from the segment.
So, if the only thing that adds an account to a segment is your Playbook, and no other Playbook or person adds the account to the segment, then the account is completely removed from the segment once they no longer meet its rules.
